The from-identity behind every customer email

A sender is the from-name and from-email address that Zenskar uses when it sends customer-facing email. Every email Zenskar sends, whether triggered by Email Alerts or built manually through Configurations, goes out under a sender configured here. Each sender is scoped to a specific business entity, or to all of them, so different legal entities can send under different identities. A sender also carries a verification status, and until the sender’s domain is verified, its mail is more likely to land in a customer’s spam folder.

Sender verification

When a sender is added, Zenskar sends a verification email to the sender’s address. Until the recipient completes that link, the sender’s status shows as Pending. Once verified, it shows Verified. While a sender is unverified, its row, or the sender’s edit page, offers a Resend Verification Email action, useful if the original link expired or was lost.

Domain verification (DKIM)

Beyond verifying the individual sender address, Zenskar also verifies ownership of the sender’s email domain using DKIM (DomainKeys Identified Mail), a DNS-based authentication standard that proves to receiving mail servers that Zenskar is authorized to send mail for that domain. This lives in a separate Email Domain Verification section on the sender, showing:
  • The domain extracted from the sender’s email address.
  • A status chip: Verified, Pending, Failed, or Temporary Failure.
Until the domain shows Verified, the section offers a Download DKIM Record button. Download the record and have the organization’s web administrator add it to the domain’s DNS settings. Domain verification typically completes automatically once the DNS record propagates and Zenskar detects it.
Domain verification is separate from sender verification, and both matter for deliverability. A sender can be individually Verified while its domain is still Pending, and mail from it is still more likely to be flagged as spam until the domain-level DKIM record is in place.

What stays editable after a sender exists

Once a sender has been created, meaning its email is set and verification has started, whether or not it has completed, the email address itself is locked and cannot be changed. Only the sender’s Name and its Business Entity remain editable afterward. The email address is what the verification and DKIM checks are tied to, so changing it would require re-verifying from scratch; a new sender is created instead.

Whether a sender must be verified before use

Whether an unverified sender can actually send mail depends on which part of the product is sending it. Manual document email sending only offers verified senders in its sender selector. Invoice-related email sending currently does not enforce this, and an unverified sender remains selectable there, though deliverability is reduced until the sender and its domain are both verified.

2. How-to guides

Add a new sender

  1. Go to Communications > Senders, and click + Add New Sender.
  2. Fill in Sender Name, Email, and Business Entity, which defaults to all entities.
  3. Save. A verification email goes out immediately, and the sender appears in the list with status Pending.

Resend a verification email

Open the sender, with status Pending, and click Resend Verification Email.

Edit a sender

Open the sender’s row. Only Name and Business Entity can be changed once the sender exists. The email address is locked.

Set a sender as the default for its business entity

Open the row’s kebab menu, and click Set as Default for Business Entity.
This action is blocked until the sender is verified. If it is disabled, verify the sender first, or resend the verification email if the original link expired.

Verify domain ownership (DKIM)

  1. Open the sender, and find the Email Domain Verification section.
  2. Click Download DKIM Record.
  3. Give the record to whoever administers the domain’s DNS, and have them add it as instructed.
  4. Wait for DNS to propagate. Zenskar updates the status automatically once it detects the record; this can take some time.

Filter the senders list

Use the list’s filters to narrow by sender name, email, or verification status.

Troubleshooting

  • Cannot set a sender as default: the sender is not yet verified. Verify it, or resend the verification email if the link expired.
  • Email field is not editable: this is expected once a sender exists, whether pending or verified. Create a new sender for a different email address.
  • Domain status shows Failed or Temporary Failure: double-check the DKIM record was copied into DNS exactly as downloaded. A mismatched or missing record produces one of these statuses instead of Verified.
  • Sender’s mail lands in spam: check both the sender’s own verification status and the domain’s DKIM status in Email Domain Verification. Both should be Verified for the best deliverability.
  • An unverified sender is not selectable: this depends on the sending flow. Document email sending only lists verified senders. If a verified sender is required, verify it first.
