Organization versus business entity
An organization is the top-level Zenskar account created at signup. A business entity is a legal or billing entity under that organization, used to separate invoicing, tax configuration, and accounting for different legal or regional units of a business, for example separate entities for different countries. A default business entity, named after the organization itself, is created automatically when the organization is created. Every new customer is assigned to this default business entity unless a different one is specified.What a business entity controls
Each business entity has its own address, tax information, and set of payment instructions. When an invoice is generated for a customer, Zenskar uses that customer’s assigned business entity to determine which address, tax details, and payment instructions to apply.Payment instructions
A payment instruction is a set of bank or payment details tied to a business entity and one or more currencies. When an invoice is generated in a currency that matches a payment instruction’s currencies, and the customer’s business entity matches, that payment instruction’s bank details appear in the invoice footer. View business entities
Go to Settings, and open the Business Entity tab. All business entities under the organization are listed here, with the default entity marked.Add a business entity
- Go to Settings > Business Entity.
- Click Add Business Entity.
- Fill in Entity Name, which is required.
- Optionally fill in Email, Phone Number, and Address (line 1 to 3, city, state, zip code, and country; country is required and defaults to United States).
- If the organization has multiple functional currencies enabled, optionally choose a Functional Currency for this entity.
- Optionally add Tax Information rows, for example VAT ID, PAN, or GSTIN, depending on country, and a logo for this entity.
- Optionally check Set as default business entity.
- Save.
Edit a business entity
- Go to Settings > Business Entity.
- Open the entity to change.
- Edit any of the fields described in Add a business entity, then save.
Set a business entity as default
Open the entity from the Business Entity tab, and use Set As Default. New customers are assigned to whichever business entity is marked default at the time they are created.Add payment instructions
- Go to Settings > Payment Instructions.
- Click Add Payment Instructions.
- Select the Entity these instructions apply to.
- Select one or more Currencies these instructions apply to.
- Enter a Title. Optionally click Add Description to include a description.
- Under Bank Details, add one or more label and value pairs, for example Bank Name and Account Number. Use Add Fields to add more pairs.
- Optionally check Set as default payment instruction for this entity.
- Save.
