What Payment Instructions manages
Settings > Payment Instructions manages the bank and payment details shown on invoices, so customers know where to send payment. Each payment instruction is tied to one business entity and to specific currencies, and its bank details appear in the invoice footer whenever an invoice is generated in a matching currency for a customer assigned to that entity.A business entity is required first
A payment instruction always belongs to a business entity, so at least one business entity must exist before a payment instruction can be created. See Business entity.Currencies cannot overlap within the same entity
Within a single business entity, no two payment instructions can share a currency. Adding or editing a payment instruction with a currency already used by another instruction on the same entity is rejected.Default payment instruction per entity
Each business entity can have one default payment instruction at a time. The first payment instruction created for an entity is automatically made the default. Marking a different instruction as default for that entity clears the default flag from every other instruction on the same entity.Bank details are free-form
Bank Details is not a fixed set of fields. Each payment instruction stores its own list of label and value pairs, so the exact fields shown, for example Bank Name, Account Number, or SWIFT Code, can differ from one payment instruction to another.2. How-to guides
View payment instructions
Go to Settings > Payment Instructions. Payment instructions are grouped by business entity, with each shown as a card listing its title, currencies, bank details, and description.Add a payment instruction
- Go to Settings > Payment Instructions, and click Add Payment Instructions.
- Select the Entity this applies to. At least one business entity must already exist.
- Select one or more Currencies. A currency already used by another payment instruction on the same entity cannot be selected again.
- Enter a Title.
- Optionally click Add Description to include a description.
- Under Bank Details, add one or more label and value pairs, for example Bank Name and Account Number. Use Add Fields to add more pairs.
- Save. The first payment instruction created for an entity is automatically set as default.
Edit a payment instruction
- Go to Settings > Payment Instructions.
- Open the card’s actions menu, and select Edit.
- Update any of the fields described in Add a payment instruction.
- Save.
Set a payment instruction as the default for its entity
Open the card’s actions menu, and select Set As Default. This is only available on a payment instruction that is not already the default. Confirming clears the default flag from every other payment instruction on the same entity.Troubleshooting
- Cannot select a currency: it is already used by another payment instruction on the same business entity. Choose a different currency, or remove it from the other payment instruction first.
- No entity appears in the Entity dropdown: no business entity exists yet. Create one under Settings > Business Entity, then add the payment instruction.
- Set As Default is not available: the payment instruction is already the default for its entity.
