How to create a contract
- Start a new contract and select the customer.
- Set the start date and end date. The current form requires both.
- Click Add Products and choose products from your catalog, selecting the pricing for each.
- Configure each line item’s quantity mode, pricing, anchor dates, discounts, and commitments as needed.
- Click Save Draft, or Publish if you are ready for billing to start.
How to add a line item to a contract
- On the contract, click Add Products.
- Select the product from the catalog.
- Choose the pricing for this line item.
- Configure the pricing model, billing schedule, and any discounts or commitments the line item needs.
- Save the contract.
How to set up price versions on a line item
- Open the line item you want to configure.
- Add a price version using Use catalog pricing, and set the date range it applies to, for example January through June.
- Add a second price version for the next period, for example from July onward.
- Confirm the versions cover the full line item period with no gaps and no overlaps. Validation will flag either problem before the contract can be saved.
A Create new pricing option is shown alongside Use catalog pricing, but it is disabled. Building a brand-new price from scratch for a single line item is not available yet. Add the price to the product’s catalog pricing first, then apply it here.
How to configure how invoice corrections are delivered
- On the contract, open the Invoicing config section.
- Turn on Billing increases after approval.
- Choose how an undercharge on an already-approved invoice should reach the customer: added to the customer’s next regular invoice, or raised as its own back-dated invoice.
- Set the date range this rule applies to.
- Save.
Only one invoicing config rule can be active on a contract, and it locks once the contract is active. See invoice corrections for what each option actually does to an already-approved invoice.
How to align billing to a specific date using anchor dates
- Open the line item’s anchor dates tab.
- Add an anchor date, for example the last day of the month or the first day of each quarter, instead of leaving billing anchored to the line item’s own start date.
- If you are setting more than one anchor date on the same line item or contract, make sure they do not overlap and are not mixed with an undated entry; conflicting entries in the same list are rejected at save time.
How to preview invoices before publishing a contract
- With the contract open, saved or still a draft, turn on Invoice Preview.
- Review the generated invoices to confirm pricing, quantities, and schedule are correct.
- Make adjustments and re-preview as many times as needed. Previewing a draft does not save or publish anything.
How to publish a contract
- Open the contract in draft status.
- Click Publish, or Save & Publish if you have unsaved changes.
- This moves the contract to active and starts generating its first invoice, which may take a moment to appear.
How to change a recurring quantity from a future date
- Open the line item for the recurring product, for example seats or licenses.
- Add a new quantity entry with the date it takes effect.
- The system automatically splits the timeline: usage before that date keeps the old quantity, and usage from that date forward uses the new one.
How to add to an on-demand quantity pool
- Open the line item for the on-demand product, for example credits or top-ups.
- Add the additional units.
- The new units stack on top of the existing allocation; there is no need to replace or reset the existing pool.
How to update an existing draft contract
- Open the draft contract.
- Make any combination of changes: rename it, update the description or dates, add or remove line items, or edit existing line item prices and dates.
- Click Save. All changes are committed in a single save.
- If someone else saved a conflicting change first, you will see a toast titled Conflict: contract was modified elsewhere. Your edits stay in the form, but reopen the contract to load the latest version before retrying, since nothing is merged automatically.
How to filter and find contracts
- Go to the contracts list.
- Filter by contract name, customer, status, currency, or created and updated date.
- Open any result to view its full line items, pricing, quantities, and configuration.
How to regenerate a contract’s invoices
- Open the contract, and go to the Invoices tab.
- Use Regenerate Invoices.
- A status banner tracks progress: enqueued, in progress, then completed or error. If it fails, use the retry action on the banner.
Regenerating is idempotent: if a regeneration is already in progress, triggering it again does not start a second one.
