This is a task-oriented guide covering payments after they’ve started coming in. For how to connect a gateway in the first place, see how to connect a payment gateway.
Add a payment manually
- Go to Payments and click + Add New Payment.
- Choose the type: Payment, or Tax Withheld if this represents tax your customer withheld rather than paid to you.
- Choose the payment method: bank transfer, cheque, cash, or card.
- Optionally, enter a transaction ID. This is useful for avoiding duplicate entries if you re-import the same payment later.
- Enter the payment date, amount received, and currency.
- Under invoices, add a row for each invoice this payment applies to, and enter how much of the amount received applies to each one. The total across all rows can’t exceed the amount received.
- Optionally, add a description.
- Save.
Add payments in bulk via CSV
- Go to Payments, click the dropdown arrow on + Add New Payment, then click Upload CSV.
- Upload a CSV file with, at minimum, a customer identifier and an amount column for each payment. To apply a payment across multiple invoices, add repeating invoice ID and invoice amount columns.
- Import the file.
Refund a payment
- Open the payment from the Payments list.
- Start a refund.
- Choose which invoice-linked amounts to refund, and how much.
- Choose where the refund goes: back to the original payment method, into the customer’s Zenskar wallet as credit, or tracked as an external refund you’ve handled outside Zenskar.
- Confirm the refund.
Resync a payment
For a successful, refunded, or partially refunded payment, you can resync it, which re-pushes the payment to a connected accounting connector. Open the payment and use the resync action if its status supports it.View a customer’s payment methods
- Open the customer.
- Find their default payment method shown on the page, or click through to view all of their payment methods.
